Privacy information

This notice explains how IC GOVERNANCE SYSTEMS LTD handles personal information when you visit ic-governance.com or contact us by email.

Who is responsible?

IC GOVERNANCE SYSTEMS LTD is the data controller. Our registered office is 71–75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ. For privacy questions or to exercise your rights, email hello@ic-governance.com.

Email enquiries

If you email us, we process the information in your message. This may include your name, email address, company or organisation details, the message contents and any other information you choose to provide. Please do not send sensitive personal information unless it is necessary and you have a secure way to do so.

We use enquiry information to read and respond to your request and, where relevant, discuss a product or service you have asked about. Depending on the context, the lawful basis is our legitimate interests in handling and responding to business enquiries, where that interest is necessary and has been balanced against your rights, or taking steps at your request before entering into a contract. We may retain information where necessary to meet a specific legal obligation or establish, exercise or defend legal claims. Sending an enquiry does not mean you have agreed to receive marketing.

Contact links open your email application. This website does not submit or store the message; if you choose to send it, it is handled by your email service and our business mailbox. The website code does not identify the mailbox provider, its storage location or its retention settings, so those operational details must be confirmed by the company.

Website technical information

The website does not include analytics or advertising scripts. The current application and Caddy configuration do not explicitly enable website access logging. Like other websites, the hosting, network or security services used to deliver it may process an IP address and request metadata (such as the requested page, time, browser information and response status) for delivery, reliability or security. The hosting target is an IONOS VPS, but this repository does not establish the live hosting setup or show which provider-side logs are retained. We will confirm the active providers, data processed and retention settings before launch.

Cookies and analytics

No analytics, advertising or other non-essential cookies are configured in this website, and no analytics service is included in its code. The current application does not intentionally set cookies for site functionality. Reassess this notice if the website adds cookies, analytics, embedded third-party content or other services.

Service providers and transfers

Email service providers process messages to deliver and store them for us, and hosting or network providers may process technical request information when operating the website. We use providers only as necessary for these services. The specific email provider, live hosting and network providers, their processing locations, any international transfers and applicable safeguards must be confirmed against the company’s actual accounts and provider terms; this website configuration does not identify them.

Retention

We keep enquiry information only for as long as needed to handle the enquiry and any resulting relationship, meet applicable legal requirements, and establish, exercise or defend legal claims. The website itself does not retain enquiry messages. The company’s specific mailbox deletion schedule and any provider log-retention periods have not been established in this website repository and must be confirmed before launch; we do not state a fixed period here.

Your rights

Depending on the circumstances, you may have the right to request access to your personal information, correction of inaccurate information, erasure or restriction of its use, to object to processing based on legitimate interests, and to receive or transfer information you provided where data portability applies. If processing relies on consent, you can withdraw it. These rights are subject to applicable conditions and exemptions. Contact us at hello@ic-governance.com to make a request.

You can also complain to the UK Information Commissioner’s Office (ICO) if you are concerned about how your personal information is handled. See the ICO data protection complaints guidance.

Review before launch

The company should confirm that this notice matches its actual enquiry-handling practices, lawful-basis assessment, mailbox access and deletion controls, hosting and email providers, and any provider-side logging or international transfers. In particular, any reliance on legitimate interests should be supported by a documented assessment. This notice should receive owner and legal review before publication.
